This policy explains what information we collect through this website, why, and what you can do about it. Roost. is a trading name of KaizenPM Ltd (company number 16074010) ("Roost", "we", "us").
When you use the property assessment form on this site, we collect: your name, email address, phone number, property address, number of bedrooms, and anything you tell us about your goals for the property.
We use Google Analytics to understand how this site is used, for example which pages people read and whether they go on to contact us. Google Analytics sets cookies on your device and processes data on our behalf as a third party.
These are not essential to the site working, so we do not switch them on unless you agree. When you first visit, analytics is disabled and no analytics cookies are stored. You will see a banner asking whether you are happy for us to turn it on. If you decline, or simply ignore the banner, it stays off and Google receives only anonymous, cookie-free signals that a page was viewed.
You can change your answer whenever you like using the "Cookie Settings" link in the footer of any page. Withdrawing consent is as easy as giving it. You can also clear cookies in your browser settings at any time.
We also use Microsoft Clarity to see how pages are actually used, through anonymised heatmaps and session recordings of mouse movement, scrolling and clicks. Clarity does not record what you type into the enquiry form. Until you agree, Clarity stores nothing on your device and treats each page view separately; if you accept, it sets cookies so a visit can be followed across pages. Microsoft processes this data on our behalf as a third party.
We do not use advertising, marketing or profiling cookies, and we do not share analytics data with advertisers.
If you book a call with us, that booking is handled by Calendly, and if you submit the enquiry form the message is delivered through Google Workspace. Both act as processors for us and have their own privacy policies.
Solely to assess your property, get back to you with an income projection or management proposal, and, if you become a client, to manage that property on your behalf. We don't use it for anything else, and we don't sell it.
Your details are seen only by the Roost team. We may share relevant details with trusted service providers where necessary to deliver our service to you (for example, an insurance broker, if you ask to be introduced to one), never for their own marketing purposes.
If you don't go on to become a client, we'll keep your enquiry details for a reasonable period in case you follow up, then delete them. If you become a client, we keep records for as long as required by UK tax and accounting law.
Under UK GDPR, you can ask us what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, or ask for a copy in a portable format. Email info@rooststays.co.uk and we'll sort it promptly.
If you are not happy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
